Backing Up For End Of Year

What backups need to be made when processing End-of-Year and what steps need to be taken to complete the backups?
3 separate backups (one for daily, one for monthly and one for yearly) will need to be completed.

Daily Backup - Backup the entire Eaglesoft data folder.
Monthly Backup - Backup the entire Eaglesoft data folder AND the Eaglesoft Install folder.
Yearly Backup - Backup the entire Eaglesoft data folder AND the Eaglesoft Install folder.
·       For our complete backup recommendations, please review Eaglesoft - Data Backup Recommendations - FAQ 206.
·       If you need assistance in performing the backup, please contact your hardware provider.
·       For PattLock online backup customers, you will need to Open PattLock and run the Eaglesoft annual backup - manual backup set prior to running your End of Day, End of Month and End of year processes within Eaglesoft. For help with running the Eaglesoft annual backup - manual process please visit PattLock - Manual Backup Set Procedure for Annual (EOY) Backup Set - FAQ 15765.
·       As always, make sure everyone has exited the Eaglesoft program and that the Eaglesoft server engine has been stopped before performing any backup.
·       We also recommend that you store your backup media in a safe location offsite, preferably a safety deposit box or fireproof safe.

·       Note: If Images, Documents, or Custom Draw Types are stored in another location, be sure to include that folder as well. By default, Images are stored under the Data directory. If your hardware provider has changed the location of your Image directory, please contact them to ensure proper backup procedures are followed.

End of Year

We want to make certain you have all the necessary information for the End-of-Year processing.

If you are on Eaglesoft Version 15.00 or higher, you will find the End-of-Year documents installed to your computer's hard drive. To easily access this information, simply go to Start|Programs|Eaglesoft|End-of-Year Documentation. You will find two files located within the folder. The file entitled EOY FAQ contains our most frequently asked questions regarding the End-of-Year processing. The other entitled EOY Instructions will give you step-by-step instructions on how to process your End-of-Year in Eaglesoft. Simply double-click the file you wish to view or print. If you are unable to access the End-Of Year Documentation or if you are on an older version of Eaglesoft, you may print the information online through FAQ, our online knowledge base, using answer id 12437. To access FAQ within Eaglesoft, simply click on the Online menu.

Please be sure to read all documentation and make your daily, monthly and yearly backups prior to processing the End-of-Year in Eaglesoft. We suggest all backups be stored in a safe place away from the office. If your fiscal year does not end in December, please refer to this documentation at a later date.

If you would like to update your service codes, a CDT 2015 utility is now available.  For more information regarding this utility, please reference FAQ 20722.

eClaims Connection Issue

Our eClaims integration is experiencing intermittent connection issues this morning, which may result in you receiving a connection error during your claim submission process.  Our vendor partner, Emdeon, is aware of these current connection issues and is actively working towards a resolution.  In most instances, these issues last 30-60 minutes or less so we would ask for you try your claims again later today.

The end of the year is quickly approaching!  In an effort to help you prepare for closing out your year in Eaglesoft, we are offering three live webinars regarding EOY Processing.  These webinars are free for all Eaglesoft Service Club members.  

The live webinars are scheduled at the following times:

Patients with Remaining Benefits

As the end of year quickly approaches, we want to provide you with a quick and easy tool to identify patients who have remaining benefits for this year.  Follow the steps below to generate a report of these patients.

How to Pull a Report Showing Patients with Remaining Benefits in Eaglesoft


  • Click activities from the Main Toolbar
  • Click Practice Management from the drop down list
  • Click The Money Finder
  • Click the drop down arrow under categories and select Maximize Insurance from the drop down list.  The benefits remaining will default to $200; however, this can be changed
  • Click OK to get a report of patients and remaining benefits 
  • Click OK to preview the report

In addition, if you want to include patients with planned services after entering the remaining benefits amount, simply click the add button at the bottom of The Money Finder window and choose Has Any Planned Service from the drop down list.

New Phone System

In order to better serve our customer’s support needs, the PTC is transitioning to a new phone system. Starting today, when you call the PTC, you will get an automated answer that will confirm your account and allow you to select the best support team to answer your question from a menu, or select to talk to one of our first impressionists.  The system will also allow you to select to receive a call back without losing your place in line.

This system will allow us to direct you to the correct department quickly and accurately.

Eaglesoft Mobile is now available!

You can register to use Eaglesoft Mobile by simply going to eaglesoftmobile.com and clicking the "Get Started Now!" button.  This will direct you through the initial registration and installation/configuration.  FAQ 18583 contains the Eaglesoft Mobile Guide with additional information including Mobile requirements and feature use.

Eaglesoft Mobile will allow you to see real-time patient information while away from the office, allowing you to communicate with patients while fully informed of the patient's information.  This can be accomplished with any device that can access the internet, including iPads, tablets, cell phones, etc.

We are excited to announce a new build of Eaglesoft 17!

If you have not already installed the Eaglesoft 17 update CD you will not need to follow the instructions as
outlined below. PLEASE WATCH FOR a new Eaglesoft 17 CD and discard the older installation CD.
If you have already installed Eaglesoft 17, within the next few weeks, we will be using the Patterson Auto Update (PAU) service to deliver the latest version of Eaglesoft 17 directly to your computer. This version contains several vital updates and it is recommended that you complete this installation on all of your Eaglesoft computers.

The new PAU feature in Eaglesoft 17 will automatically detect that there is an update waiting for you, (If you have changed the default preferences of the Patterson Auto Update, you may have to manually check for updates by going to Start | All Programs | Patterson Companies | Patterson Auto Update.) Once the file has been detected by your daily check for updates in PAU, the Patterson Auto Update will indicate that an update is waiting. Remember, all computers, including your server, must be updated at the same time and always, make a backup prior to updating.

Downloading Installation Instructions:
All installation documents will be downloaded to the one machine that has been configured as your PAU portal machine. To determine which machine is configured as the portal, go to Start | All Programs | Patterson Companies | Patterson Auto Update, select the Configuration and then Base tabs. Your portal machine will be the one that has the Portal radio button selected. To access the attached instructions, right-click on Start | Open Windows Explorer. Locate the C: drive. Locate the Patterson Downloads folder and double-click to open. Once in the Patterson Downloads folder, double-click to open the folder ES 17.00.49 Docs_17.00.49. Inside this folder, you will find a file named Documentation. This file contains additional information to help you download and install Eaglesoft 17.

Installing the Update:
In the PAU window, select the Download Software button. Once you have downloaded the software the
button will change to an Install Software button. Please wait to perform the installation until you have read the installation instructions as directed above. Install all Eaglesoft machines, including your server. Please feel free to contact our Support department at ptc.support@eaglesoft.net or 1-800-475-5036 with any questions.

Have you added your practice information to your CAESY Cloud set up?  This will allow your practice info to print on CAESY Cloud Pages and show on any videos you email to your patients from CAESY Cloud. Simply login to CAESY Cloud and go to Settings/Account Information to enter your practice information. It's just that easy!

CAESY Cloud Pages

You may have noticed a new button next to your CAESY Cloud presentations.  This button is for a printable page that provides the presentation details in a written format, allowing for an even more robust case presentation.  It is also a wonderful way to send post-op instructions.  This page can be sent home with your patients as a print out, via e-mail or can be placed on your website.

Important Notice about Medical History Forms

New in Eaglesoft 17 is customized medical history.  To effectively use this new feature and to prevent loss of past medical history date, please read the following information.

If you choose to create a new form, do NOT delete the original Eaglesoft Medical History form.  Deleting this form will delete all saved patient's medical histories linked to this form.

If you choose to edit the original Eaglesoft Medical History form, any changes you make will be reflected on all previous patient medical history data.  

Instead of deleting or editing, please inactivate the Eaglesoft Medical History form to prevent patient medical history data loss.  To do so, deselect the Active checkbox on the Eaglesoft Medical History form.

Eaglesoft 17 - Sirona Integration and Sirona 3D Bridge Button Setup

As of  Version 17, the new Eaglesoft Sirona integration will require that Sirona Sidexis 2.56 or higher be installed for proper functionality.  If an update to your Sidexis software is required please call 800.659.5977 Option 2 to speak with Sirona tech support for a free update.  See FAQ 17999 for Eaglesoft 17 Sirona digital integration installation instructions.

Customizable Medical History

Medical History has been re-energized in Eaglesoft Version 17.  Not only has Medical History been streamlined, but it is now fully customizable!  You have the option to edit the existing Medical History Form or create a new form specific to your office needs.  In addition to the customizable medical history form, the original Medical History form is still available to use.  For more information please access FAQ 18435 to view a detailed webinar on this process.
