Backing Up For End Of Year

What backups need to be made when processing End-of-Year and what steps need to be taken to complete the backups?
3 separate backups (one for daily, one for monthly and one for yearly) will need to be completed.

Daily Backup - Backup the entire Eaglesoft data folder.
Monthly Backup - Backup the entire Eaglesoft data folder AND the Eaglesoft Install folder.
Yearly Backup - Backup the entire Eaglesoft data folder AND the Eaglesoft Install folder.

·       If you need assistance in performing the backup, please contact your hardware provider.
·       For PattLock online backup customers, you will need to Open PattLock and run the Eaglesoft annual backup - manual backup set prior to running your End of Day, End of Month and End of year processes within Eaglesoft. For help with running the Eaglesoft annual backup - manual process please visit PattLock - Manual Backup Set Procedure for Annual (EOY) Backup Set - FAQ 15765.
·       As always, make sure everyone has exited the Eaglesoft program and that the Eaglesoft server engine has been stopped before performing any backup.
·       We also recommend that you store your backup media in a safe location offsite, preferably a safety deposit box or fireproof safe.

·       Note: If Images, Documents, or Custom Draw Types are stored in another location, be sure to include that folder as well. By default, Images are stored under the Data directory. If your hardware provider has changed the location of your Image directory, please contact them to ensure proper backup procedures are followed.

End of Year

We want to make certain you have all the necessary information for the End-of-Year processing.

If you are on Eaglesoft Version 15.00 or higher, you will find the End-of-Year documents installed to your computer's hard drive. To easily access this information, simply go to Start|Programs|Eaglesoft|End-of-Year Documentation. You will find two files located within the folder. The file entitled EOY FAQ contains our most frequently asked questions regarding the End-of-Year processing. The other entitled EOY Instructions will give you step-by-step instructions on how to process your End-of-Year in Eaglesoft. Simply double-click the file you wish to view or print. If you are unable to access the End-Of Year Documentation or if you are on an older version of Eaglesoft, you may print the information online through FAQ, our online knowledge base, using answer id 12437. To access FAQ within Eaglesoft, simply click on the Online menu.

Please be sure to read all documentation and make your daily, monthly and yearly backups prior to processing the End-of-Year in Eaglesoft. We suggest all backups be stored in a safe place away from the office. If your fiscal year does not end in December, please refer to this documentation at a later date.

If you would like to update your service codes, a CDT 2015 utility is now available.  For more information regarding this utility, please reference FAQ 20722.

eClaims Connection Issue

Our eClaims integration is experiencing intermittent connection issues this morning, which may result in you receiving a connection error during your claim submission process.  Our vendor partner, Emdeon, is aware of these current connection issues and is actively working towards a resolution.  In most instances, these issues last 30-60 minutes or less so we would ask for you try your claims again later today.

End Of Year Processing

The end of the year is quickly approaching!  In an effort to help you prepare for closing out your year in Eaglesoft, we are offering three live webinars regarding EOY Processing.  These webinars are free for all Eaglesoft Service Club members.  

The live webinars are scheduled at the following times:
·         Thurs, Dec 18 at 1:00pm (Central)
·         Tues, Dec 23 at 12:00pm (Central)
·         Tues, Dec 30 at 2:00pm (Central)

Patients with Remaining Benefits

As the end of year quickly approaches, we want to provide you with a quick and easy tool to identify patients who have remaining benefits for this year.  Follow the steps below to generate a report of these patients.

How to Pull a Report Showing Patients with Remaining Benefits in Eaglesoft


  • Click activities from the Main Toolbar
  • Click Practice Management from the drop down list
  • Click The Money Finder
  • Click the drop down arrow under categories and select Maximize Insurance from the drop down list.  The benefits remaining will default to $200; however, this can be changed
  • Click OK to get a report of patients and remaining benefits 
  • Click OK to preview the report

In addition, if you want to include patients with planned services after entering the remaining benefits amount, simply click the add button at the bottom of The Money Finder window and choose Has Any Planned Service from the drop down list.
